Administrative Assistant

Summary

Full-time Administrative Assistant needed for busy property management office.
Candidate must be:


•Highly organized and able to multitask with attention to detail and timelines.
•Excellent verbal and written communication skills including grammar, spelling and
punctuation.
•Team player with excellent interpersonal skills, able to work effectively with patrons,
tenants, vendors and team members at all levels of the organization.
•Highly proficient in Microsoft Word, Excel, and Outlook.


Duties to include but not limited to:

•Provide administrative support including correspondence, front desk coverage, filing, copies, heavy phone support on 5 line phone system and office coordination.
•Accepts and directs cold telephone calls from tenants, customers, contracted service providers, vendors and company staff members to resolve, handle, and if required; elevates to upper management to handle and respond.
•Assist Property Manager in handling property emergencies, preventative maintenance programs and special projects.
•Generate work orders for maintenance, operations and office accounts.
•Draft and track correspondence related to tenant compliance issues, coordinate and ensure tenant compliance with violations.
•Provides General administrative support, arrange meetings, facilitate lease signings and ensure application and leasing materials are produced within established time frames and with high quality standards for the Property Manager.

Requirements

•Administration experience preferred.
•Valid driver’s license and clean DMV record.
•Able to pass a background and drug screen.
